How to Write a Case Study for Your Website (Template Included)
A simple structure for customer success stories that build trust and help win new clients.
A case study tells the story of how you helped a real customer. Prospects trust it more than claims, because it shows your work in a situation like theirs. Well-written case studies also attract searches for specific problems and industries.
Step 1: Choose the right customer
- A result you can describe clearly, ideally with numbers.
- A customer similar to the clients you want more of.
- Someone willing to be named and quoted.
Always get the customer's permission and let them review the draft.
Step 2: Interview the customer
- What was the situation before?
- What had they tried already?
- Why did they choose you?
- What changed, and how do they measure it?
- What would they tell someone considering you?
Step 3: Use a clear structure
- Headline with the result: "How a Dublin Dental Clinic Cut No-Shows by 40%".
- Summary box: customer, industry, challenge, solution, key results.
- The challenge in the customer's words.
- The solution: what you did, step by step.
- The results: real numbers and outcomes.
- A quote from the customer.
- A next step for readers in a similar situation.
Step 4: Make it easy to read
Use short paragraphs, subheadings and a summary at the top. Check the draft with the readability checker and simplify long sentences. See how readability affects SEO.
Step 5: Optimise for search
- Mention the industry, location and problem naturally โ people search for "[service] for [industry]".
- Write a descriptive title and meta description.
- Link the case study from related service pages, and from the service page to the case study.
- Add real photos, charts or screenshots with descriptive alt text.
Be honest with numbers
Use the customer's real figures and explain the time period. If results depend on several factors, say so. Exaggerated case studies damage trust quickly. Real experience is what makes content credible โ see what E-E-A-T means.
A worked example
A UK web design studio had a portfolio of screenshots but no stories. It wrote six case studies, each with the client's challenge, the process and measured results such as enquiries before and after. Prospects began mentioning specific case studies in calls, and the pages started ranking for searches like "website design for physiotherapy clinics".
Repurpose each case study into posts and videos โ see how to repurpose blog content.
Where to use case studies
- On matching service pages, as short summaries linking to the full story.
- In sales proposals and follow-up emails.
- In newsletters and social posts.
- On your homepage, as a short quote with a result.
One good case study can work across many channels for years.
